Improving Communication at APES CIC with Nextcloud and Freescout Integration

At the Association of Protecting Exotic Species CIC, we have always prioritized seamless and effective communication, recognizing its pivotal role in ensuring exceptional care for our exotic animal residents and enhancing visitor experiences. With our newly acquired organization number, we've been actively working towards elevating the communication infrastructure for our visitors, staff, and volunteers.

Research and Development for Enhanced Communication

Our journey began with a thorough examination of the current communication needs within our organization. We aimed to identify and implement platforms that not only streamline communication but also foster collaboration among our team members. While we already possess a robust animal record-keeping software that is both secure and compliant, enhancing our team’s involvement in communication was a key priority.

Introducing Nextcloud: Our New Communication Backbone

After extensive research and testing, we are excited to announce the integration of Nextcloud into our communication toolkit. Nextcloud offers a comprehensive suite that supports file sharing, messaging, and collaboration features. This choice aligns perfectly with our commitment to leveraging sophisticated technology to benefit our community.

Thanks to our supportive technology partner, Akamai, we will be running our Nextcloud instance on their secure network. This ensures that all our communications are not only efficient but also compliant with data protection regulations, as all our data will be housed within the UK, never crossing international borders.

Freescout: Creating a Unified Communication System

In tandem with Nextcloud, we are also developing a communication system with the help of Freescout. This system will centralize all our communication channels, making it easier for staff to access information, assist our visitors promptly, and enhance our overall service delivery. Importantly, it will host a controlled amount of client data, allowing us to streamline processes such as retrieving visitor records, facilitating inquiries, and providing more personalized assistance.

Timeline and Expectations

We are thrilled to share that we aim to have these new systems fully implemented and operational by the end of the week commencing 3rd March 2025. This enhancement will not only streamline internal communications but will also significantly improve our interactions with visitors, ensuring that our community continues to receive the excellent service it deserves.
